These Terms govern bookings made with Soft Stone Path. Please read carefully before you pay a deposit or balance.

1) Definitions

“We/us” means Soft Stone Path. “You/Traveler” means the lead traveler and all persons on the booking. “Services” means travel arrangements we organize, including accommodation, transport, guides, and activities. “Start date” means the first service date on your confirmed itinerary.

2) Contract formation

Your contract with us exists when we confirm acceptance of your booking (usually by email) and receive any required deposit. The lead traveler warrants they are authorized to accept these Terms for all persons on the booking.

3) Pricing and payment

  • Quotes are in GBP unless stated otherwise and are subject to availability until paid.
  • Deposit: typically 20% of trip value (or higher for special tickets); due upon booking; non-refundable.
  • Balance: due 45 days before the Start date unless stated otherwise.
  • Late bookings: full payment may be required at confirmation.
  • Inclusions/exclusions are stated in your itinerary. City taxes, visas, personal expenses, travel insurance, and tips are usually excluded unless specified.
  • We reserve the right to correct obvious pricing errors.

4) Changes requested by you

We’ll assist with reasonable amendments. Change fees may apply plus any supplier charges. Significant changes (dates, destination, group size) may be treated as a cancellation and rebook under Section 5.

5) Cancellation by you and refunds

If you cancel, written notice is required. Our standard cancellation charges (excluding non-recoverable supplier costs) are:

  • 60+ days before Start: refund of amounts paid less the non-refundable deposit and any non-recoverable costs.
  • 31–59 days: 40% cancellation fee (we refund 60%) plus non-recoverable costs.
  • 15–30 days: 60% cancellation fee (we refund 40%) plus non-recoverable costs.
  • 8–14 days: 80% cancellation fee (we refund 20%) plus non-recoverable costs.
  • 0–7 days or no-show: 100% cancellation fee.

Non-recoverable costs include items like timed-entry tickets, event passes, and special fares marked non-refundable by suppliers. See our Refund Policy for process and timelines.

6) Changes or cancellation by us

We may adjust components to equivalent or higher standard where necessary. If a major change affects a significant portion of your trip, you may accept alternatives, receive a credit, or receive a refund of the affected portion. For cancellations due to Force Majeure (Section 7), refunds may be limited to recoverable amounts; credits are often offered.

7) Force Majeure

Events beyond our control (e.g., natural disasters, epidemics, strikes, significant political events, air traffic disruptions) may require changes or cancellations. We aren’t liable for resulting costs where performance is prevented or materially hindered. We will assist with alternatives and documentation for insurance claims.

8) Traveler responsibilities

  • Passports, visas, entry requirements, and health formalities are your responsibility.
  • You must disclose relevant medical, mobility, or dietary needs at booking time.
  • Respect local laws, suppliers’ safety instructions, and reasonable group conduct.
  • Travel insurance with medical and cancellation cover is strongly recommended and may be required for some trips.

9) Limitations of liability

Our liability is limited to losses that are a foreseeable result of our breach and is capped at the total price you paid to us for the Services, except for liability that cannot be limited by law (including death or personal injury caused by our negligence). We aren’t liable for indirect or consequential losses, or for acts/omissions of third-party suppliers when we act as an agent, subject to applicable consumer protections.

10) Supplier terms

Suppliers (hotels, carriers, activity providers) have their own terms that govern your relationship with them. We will share key terms on request or where required for your booking.

11) Complaints

Please raise any issue immediately on trip so we can help in real time. If unresolved, email a written summary within 30 days of return. We’ll investigate and respond as soon as reasonably possible.

12) Intellectual property

Content on this website and our materials is owned by or licensed to us. You may not copy or reuse it for commercial purposes without permission.

13) Privacy

Your personal data is handled per our Privacy Policy. By booking, you acknowledge our privacy practices.

14) Governing law and jurisdiction

These Terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction, except that consumers resident elsewhere may be entitled to bring claims in their local courts under mandatory local law.
